The quick answer

A useful response to a negative salon review acknowledges the concern, avoids private details and gives the guest a clear way to speak with someone who can help. Verify what happened internally before promising a refund, a redo or any other remedy.

Read, check and assign the response

Pause before replying. Identify the issue, ask the responsible team member for the relevant facts and decide who has authority to respond. Keep customer records private; a public comment thread is not the place to publish appointment history, phone numbers or sensitive information.

Use a short internal record with the review date, issue, responsible person and next action. This helps the salon resolve the problem without several staff members giving different explanations.

Template: the guest waited too long

Thank you for telling us about your visit. We are sorry the wait affected your experience. Please contact [manager] at [salon contact] so we can review what happened and discuss the next step.

Before using this wording, check the actual concern. If the salon already knows what went wrong, the owner can briefly acknowledge the specific issue without making excuses. Do not promise that a delay can never happen again.

Template: a price or service concern

We appreciate you raising this. We would like to review the service and the pricing explained during your visit. Please reach [manager] at [salon contact] so we can discuss the details privately.

For a concern about the finished service, replace the pricing sentence with a direct reference to that concern. Avoid telling a customer that they are wrong before investigating. Do not make a medical assessment in a review response.

Template: you cannot identify the visit

Thank you for reaching out. We have not yet been able to match the details to a visit, but we would like to understand your concern. Please contact [manager] at [salon contact] with the visit date so we can look into it.

This is different from accusing the reviewer of lying. Keep the invitation open while the owner checks. These are original example responses, not claims about events at a particular salon.

When to report and when to resolve

A low rating alone is not a reason for removal. If a review appears to violate Google's content policies, use the official reporting process and supply the relevant information. Reporting does not guarantee removal.

Handle ordinary service disagreements through the salon's customer-care process. A refund or complimentary service should never be conditional on a customer changing or deleting a Google review.

  • Escalate safety, harassment or sensitive personal issues to the owner promptly.
  • Keep one person responsible for any promised follow-up.
  • Record whether the customer was contacted and the action actually completed.
  • Use recurring themes to improve booking, price explanations or waiting-time communication.

Review replies should be specific enough to show the concern was heard, while remaining concise and respectful.

Common questions

Should we paste the same reply under every review?

No. Start with a consistent process, but adjust the response to the concern and facts of each visit. Remove placeholders before posting.
